Install Klearcomm Across Your Organization

These instructions are for Microsoft 365 account administrators who are installing the Outlook add-in (plugin) on others’ devices. 1. Navigate to the Microsoft 365 admin center. You may sign into the Microsoft 365 admin center at this link: https://admin.microsoft.com/

2. In the menu bar on the left side, find the Settings button. You may have to click Show all for the Settings button to appear. Under Settings, click Integrated apps.

3. In the Integrated apps page, select View more apps.

4. A new window should appear. In the search bar in the top right corner of the window, type Klearcomm to find the Klearcomm add-in for Outlook.

5. Ensure the add-in in the search result is the Klearcomm add-in for Outlook, published by Vibrantec Solutions. Scroll down and select Get it now.

6. A new dialogue will pop up. Select the users for whom you would like to install the Outlook add-in. Use the Search box to find specific users or groups. Then, select the deployment method for those users. Klearcomm recommends using the Fixed or Optional deployment methods so that users have immediate visible access to Klearcomm.

7. Select Deploy. A green checkmark will appear when the add-in is deployed. You may edit your organization’s add-in settings at any time from the Integrated apps page in the Microsoft 365 Admin Center.

8. Prompt users to log in to their Klearcomm account within the Outlook add-in as described below. Users may also follow these instructions to log in and use the Klearcomm add-in.


How to Log in to Klearcomm

1. First, activate the plugin: either start composing a message, or open an email, then activate the KlearComm from the Add-ins menu. In the upper right corner of the screen, open the Add-in menu by either clicking the three dots (see left image), or by clicking Apps (see right image).

2. The KlearComm add-in will show a popup and prompt you to enter your email address. Make sure to enter the email address you’re using in Outlook that is associated with your KlearComm account.. You should receive an email from KlearComm in your Outlook inbox.

3. Open the login email from KlearComm in Outlook, then close and reopen the KlearComm add-in while reading the email. The add-in will read the link in the email and log you in. Now you can begin optimizing your email communications!


How to Use

Based on personal behavior and communication styles, KlearComm can optimize messages you send as well as ones you receive. Make sure your KlearComm behavior and communication profile is complete on https://klearcommapp.vibrantecai.com/index.html in order to start optimizing. If you don’t have an account, contact your administrator to set up your Outlook email with a KlearComm token so you can log in.

Sending an Optimized Email

1. Begin composing a new email message normally. In the upper right corner of the screen, open the Add-in menu by either clicking the three dots (see left image), or by clicking Apps (see right image).

2. Click on KlearComm to open the KlearComm app screen. If you already started your email, KlearComm will transfer the recipient, subject, and any body text into the optimizer. Otherwise, KlearComm’s optimizer screen will load as below.

3. Fill out the recipient field with the email address of the person you’re trying to send an optimized email to. If their information is in KlearComm’s system, their profile will appear, which can be expanded to show suggestions on how to communicate with them. Otherwise, you will be notified that their profile is incomplete or that they have no KlearComm account.

4. Fill out the subject line and body of the email. When done, click the Klearify button below, scroll down, and wait for your message to be optimized.

5. Once the optimized message shows up, you can continue editing it in the Optimized Subject or Optimized Body fields. When done, click Compose Email to transfer your email to the normal email composition screen. There you can make any last edits and finally send the optimized email to your recipient!

Optimizing an Email Sent to You

1. Open the email you want optimized for you. In the upper right corner of the screen, open the Add-in menu by either clicking the three dots (see left image), or by clicking More apps (see right image).

2. Click on KlearComm to open the KlearComm app screen. KlearComm’s optimizer screen will appear and load the email, optimized for your behavior and communication styles.
